Executive Secretary
Position Overview
DOUMMAR MEP Contractors is hiring an Executive Secretary to the Project Manager for a major construction project based in Yaoundé, Cameroon. This is a senior administrative role providing direct, high-trust support to the Project Manager on a large multidisciplinary MEP site. The successful candidate will be the PM's right hand on calendar, correspondence, document control, travel logistics, and confidential matters — keeping the project office running smoothly and professionally.
Key Responsibilities
- Manage the Project Manager's calendar, meetings, correspondence, and daily priorities
- Draft, format, and dispatch professional letters, memos, and meeting minutes in French and English
- Maintain the project's document control system: filing, version tracking, distribution, and archiving of technical and administrative documents
- Organise business travel: flight bookings, hotel reservations, visas, transport, and full travel itineraries for the PM and visiting staff
- Handle data entry into project trackers, registers, and internal systems with accuracy and discipline
- Coordinate incoming visitors, calls, and deliveries at the project office; act as first point of contact for clients, consultants, and suppliers
- Prepare expense reports, petty cash logs, and simple administrative reports for the PM
- Maintain strict confidentiality on sensitive project, commercial, and HR matters
- Support internal coordination with the Yaoundé site team and the DOUMMAR regional office
Required Qualifications
- Education: Bachelor's degree or equivalent diploma in Secretarial Studies, Office Management, Business Administration, or related field
- Experience: Minimum 10 years as an Executive Secretary, Personal Assistant, or Senior Administrative Officer
- Mandatory prior experience working in a multinational company operating in Cameroon
- Proven experience managing executive-level calendars, travel, and confidential correspondence
- Cameroonian national or holder of valid long-term work authorization for Cameroon
Technical Skills
- Advanced proficiency in Microsoft Office: Word, Excel, Outlook, PowerPoint (required)
- Document control and structured filing systems (required)
- Accurate high-volume data entry (required)
- Travel coordination: hotel and airline booking platforms, visa processes (required)
- Experience within an MEP, construction, or engineering firm (preferred, not required)
- Familiarity with basic project administration tools and trackers (preferred)

Location & Contract
- Location: Yaoundé, Cameroon — on-site at the project office
